Here at GOLF Link we have some common issues from clubs. Accordingly, we thought we would provide you with some extra help by informing you of the correct procedures for these common problems along with a few tips from us. These emails are something you should have on hand when using the GOLF Link system so that you can easily solve these common issues as they arise. This week on GOLF Link HOT TOPICS: Entering New Members To Your Club

We will be covering the basic rules for entering new members to your club. There are three general types of new members: those who are new to GOLF Link, those who are transferring from one home club to another home club, and those who are adding your club as a Non Home member.


Creating New Home Member (new to GOLF Link)

The first thing you should always ask a new member is if they have ever belonged to a club and if they had a GOLF Link number at that club. If the answer is no then it is quite easy to enter them into GOLF Link.

You simply need to do the following;
1. Enter their details into your membership system.
2. Ensure that their playing and membership statuses are ticked or set to yes.
3. Ensure that Home Club option is ticked or set to YES (some systems work in reverse, i.e. ensure that Non-Home Club option is not ticked).
4. Ensure that the GOLF Link Number field is empty as GOLF Link automatically assigns a GOLF Link number for new members.

If you follow these simple steps you should have a new GOLF Link number for your new member.

Transferring Home Club

If a member tells you that they are or were a member of another club you must get their GOLF Link number off them as well as the exact spelling of their name in GOLF Link (if possible you should copy the name off the members GOLF Link card). After you have their number you need to ask them if they wish to have their home club at your club or if they wish their home club to remain else where.

If a member wishes you to be their new home club, you simply need to do the following;
1. Enter their details into your membership system.
2. Ensure that their playing and membership statuses are ticked or set to yes.
3. Ensure that Home Club option is ticked or set to YES (some systems work in reverse, i.e. ensure that Non-Home Club option is not ticked).
4. Enter the members old GOLF Link number into your system instead of leaving it blank, this is so GOLF Link knows what number you are transferring.

Adding Member as a Non-Home Club

If a member has an existing GOLF Link number and wishes that his home club remain at a club other than yours, you simply need to do the following;
1. Enter their details into your membership system.
2. Ensure that their playing and membership statuses are ticked or set to yes.
3. Ensure that Home Club option is not ticked or set to NO (some systems work in reverse, i.e. ensure that Non-Home Club option is ticked).
4. Enter the members old GOLF Link number into your system instead of leaving it blank, this is so GOLF Link knows what number you are transferring.

Doing this will create a Non-Home member in your system ensuring that any rounds played at your club by this golfer will be added to their score history at their home club. It will also ensure that your system will stay up to date with the member's handicap when rounds are played at clubs other than yours.


Errors Occurring While Transferring Members

If you receive one of the following errors while trying to transfer a member please do not give up on the transfer. You can follow the links below which contain detailed information about the various errors and how to solve them.

- Duplicate Member
- Invalid Golf Link Number

Furthermore if there is a problem, please try and rectify it straight away, the longer a problem exists the harder it will be to fix it.
